The Safety Department validates the file
Nothing else can be booked until the Safety File is validated.

Book inductions and truck inspections
Once the file is validated, your drivers and trucks can be booked in.

You are added to the Rotran database
Your company, drivers and trucks are registered. You then supply the signed contract and the Rotran vehicle induction slips.
Most delays come from documents arriving in pieces. Gather everything first and send it in one go.
What we need from you
Send these with your fleet size. We supply the procedures you are missing.
Company
- Letterhead with your logo
- Letter of good standing (workmen’s compensation)
- Organogram, signed and dated by the CEO
Fleet
- Fleet list of all trucks and trailers
- Licence and certificate of fitness (COF) for each truck and trailer
People
- List of employees with job descriptions
- List of drivers
- For each driver: licence, ID and induction certificate or Rotran card
- Foreign drivers: passport, licence, professional driving permit and work permit

- Pre-use inspection checklist
- Tracking system, and who manages it
- Speeding procedure

The fee is one payment based on how many trucks you register, not a price per truck. Tell us your fleet size and we will send you a quotation.
How long does it take?
The Safety File normally takes about 7 working days, depending on how quickly you send us your information. Inductions and truck inspections can only be booked once Rotran/Rotek validates the file.
Is the Safety File in my company’s name?
Yes. We compile it in your company’s name, on your letterhead, as per the Rotran/Rotek Index.
Can I send the signed contract later?
Yes. The signed contract and the Rotran vehicle induction slips can follow after your first submission.
